I will be very honest with you. Japan is the toughest visa we deal with at Gulf Star.
Dubai is easy. Turkey is easy. Malaysia is easy. But Japan? The Japanese Embassy checks everything. I mean everything.
I have been working in visa consultancy services for the last 7 years in Karachi. I have seen people with 30 lakh in their account getting rejected, and I have seen a school teacher with 18 lakh getting approved. So what is the difference? The difference is how you make your file.
If you are planning for Japan in 2026, read this full guide. I am not copying anything from Google. I am writing what actually works at the Embassy of Japan in Karachi and Islamabad.
What Does The Embassy Actually Want?
Most people think Japan only wants money. That is wrong.
Japan is a very expensive country. They know that. What they really want to know is, will you come back to Pakistan?
They ask themselves three questions when they see your file:
First, can you afford this trip? Japan is not cheap. A 10-day trip costs at least 8 to 10 lakh rupees.
Second, do you have a strong reason to come back? Do you have a good job? A business? A family?
Third, are you a real tourist? Or do you just want to go there and not come back?
If your file can answer these three questions clearly, your visa will be approved. If not, it will be rejected. It is that simple.
Types of Japan Visas for Pakistanis
Don’t apply in the wrong category. Many people make this mistake.
1. Tourist Visa: You want to go for holidays. You want to see Tokyo, Osaka, Mount Fuji. You don’t know anyone there. You will stay in a hotel. This is for 90% of people.
2. Visiting Friends and Family Visa: If your brother, friend, or cousin lives in Japan and is inviting you. For this you need a lot of extra documents from Japan – invitation letter, guarantee letter, their tax papers and residence card.
3. Business Visa: If a Japanese company invites you for a meeting or exhibition. This is not a work visa. You cannot work there.
In this blog, I will talk about the Tourist Visa because that is what most of you need.
Complete Documents List for 2026 – No Fake List
This is the exact list we are using right now for VFS Karachi. Please make all copies on A4 size.
For Everyone – Basic Documents:
1. Passport: It should be valid for at least 8 months. And it should have 2 empty pages. If you have old passports, attach them too. It helps a lot if you have traveled to Dubai, Turkey, Malaysia, Thailand before. An empty passport is always weak.
2. CNIC Copy: Clear color copy.
3. Photo: This is very important. Size is 4.5cm x 4.5cm, white background. This is NOT the US visa size. Go to your photographer and tell him “Japan visa size”. Your face should be 80% in the photo.
4. FRC and MRC: Family Registration Certificate and Marriage Certificate from NADRA. And it MUST be in English. Urdu certificates are not accepted. If you are married, you need both. If single, only FRC.
If You Have a Job:
You have to prove your job is stable.
- NOC or Employment Letter from your company. It should mention your job title, your salary, your joining date, and that company has no issue with you visiting Japan.
- Last 6 months salary slips.
- Last 6 months bank statement. This is the main thing. Your salary should be coming into this account every month. We suggest you should have at least 20 lakh rupees as closing balance. And the statement should be stamped by the bank with an Account Maintenance Certificate.
If You Have Your Own Business:
- NTN Certificate. If you are a filer, it is a big plus.
- Visiting Card and Company Letterhead.
- Business registration proof or Chamber of Commerce certificate.
- Two bank statements – your personal and your company. Both should have a good balance. I always tell my clients to keep at least 20 lakh in personal account.

Let’s Talk About Bank Statement – The Main Reason for Rejection
I want to explain this separately because 90% of visas are rejected due to this.
People think if they put 20 lakh in their account one day before printing the statement, it will work. It will not work. The embassy is not stupid.
They check three things in your statement:
How much money comes in every month?
How much do you spend every month?
Did you deposit a big amount suddenly?
If you had 50,000 in your account and suddenly you deposited 20 lakh cash, they will reject you. They know it is borrowed money.
What you should do is, run your account properly for 6 months. Let salary or business income come in. Let expenses go out. Let the balance grow slowly. This looks natural.
And never show a loan or borrowed money in your statement.
Last year, one of my clients from Islamabad did this. He had a good business but he deposited 25 lakh one week before. We told him to wait for 4 months. He waited, maintained his account, and then we applied. His visa was approved. Patience is important.
How We Make a File at Gulf Star
Look, we don’t just staple papers. We make a story.
For example, the cover letter. Many people write “I want to go to Japan for tourism”. That is a childish line. Embassy will throw it away.
We write a proper letter. Something like: “I am working as Operations Manager at XYZ Pvt Ltd since 2020. My monthly salary is 250,000 PKR. I want to visit Japan from 10th to 20th October 2026 for tourism. I plan to visit Tokyo, Kyoto and Osaka. I will visit Senso-ji Temple, Tokyo Disneyland and Mount Fuji. I have booked Hotel APA in Tokyo. I will return to Pakistan on 20th October because I have to resume my job and my wife and kids are here.”
Do you see the difference? It is a complete story. It answers all their questions.
Same with travel itinerary. We don’t just write “10 days in Tokyo”. We write Day 1: Arrival in Tokyo, check-in hotel. Day 2: Tokyo city tour – Shibuya, Shinjuku. Day 3: Day trip to Mount Fuji. This proves you are a real tourist.
And please, do not buy a confirmed air ticket before visa. Only reservation is needed. We provide that. Buy your real ticket only after you get your visa.
Processing Time in 2026 – How Much Time Japan Takes?
There is no fast-track service for Japan. This is one rule for everyone.
Once you submit your complete file at VFS Global in Karachi or Islamabad, the Embassy of Japan takes its own time to check everything. They verify your bank statement, your job letter, your travel history, everything.
Usually it takes 15 to 20 working days after submission.
Sometimes, if the embassy needs more documents or wants to verify something, it can take up to 25 working days as well. So you have to be patient.
My advice is, never make a plan to travel next month and apply this month. Always apply at least 2 months before your intended travel date. And never buy your confirmed air ticket before you get your passport back with the visa. Only a reservation is enough for the application.
If someone is giving you 100% guarantee or promising a Japan visa in 5 days, he is not telling the truth. Japan has a proper process and everyone has to follow the same timeline.
Why Japan Visa Gets Rejected? My Top 5 Observations
1. Fake Documents: I have seen agents making fake bank statements. Please don’t do this. Japanese embassy verifies every document. If they find one fake paper, they will ban you for years.
2. Name Mismatch: If your name on passport is Muhammad Ali Khan and on bank account it is M. Ali, it will create a problem. Keep everything same.
3. No Travel History: If you have a fresh passport, first travel to some easy countries like UAE, Malaysia, Thailand, Turkey. Then apply for Japan. A used passport is always stronger.
4. You Are Not a Filer: In Pakistan, becoming a filer costs almost nothing but it gives huge trust. The embassy loves filers.
5. Weak Cover Letter: A weak cover letter means a weak case. Your cover letter is your interview.
My Tips To Increase Your Chances
If you want to improve your profile for Japan, do these things:
Start 6 months early. Don’t come to me one week before your planned travel.
Become a filer this year.
Maintain your bank account daily. Don’t keep it empty.
Make sure your FRC, MRC, and all NADRA documents are in English and have correct spellings.
And use a professional consultant if it is your first time. Japan is not a country where you should do experiments. One rejection will make your next application very difficult.
